This Privacy Policy explains how Scooolio Technologies Pvt. Ltd. (“Scooolio”, “we”, “us”) processes personal data in connection with Campus Master, our school and college ERP, web application and related services.

1. Scope and roles

Campus Master is primarily provided to educational institutions. Depending on the activity and applicable law, an institution may determine why and how student, parent, teacher, employee and academic data is entered and used, while Scooolio provides the technology and processes data to operate, secure, support and improve the contracted service. Certain account, billing, security, support and legal-compliance data may be processed by Scooolio for its own legitimate service purposes and legal obligations.

2. Data we may process

Data may include institution and account details; names and contact information; student identifiers and admission/profile information; parent/guardian information; photographs; class, attendance, timetable, homework, examination, result and report information; teacher/employee information; communications and notices; event and Campus Showcase content; support records; subscription, invoice and transaction references; device, browser, login, security and audit information; and other information an institution chooses to use within enabled Campus Master features.

3. Children and student data

Campus Master is designed for educational use and may process personal data relating to children. Institutions and authorized users must provide or collect required notices, permissions and parental/guardian consents where applicable and must use student data only for authorized educational, administrative, safety or related institutional purposes. Scooolio will implement its own obligations under applicable data-protection law according to the role it performs for the relevant processing.

4. Purposes

We may process data to provide authentication and account access; operate academic and administrative modules; enable parent/student/teacher services; provide support; process subscriptions and payments; maintain audit and security records; prevent abuse and fraud; troubleshoot and improve reliability; meet contractual obligations; and comply with applicable law.

5. Campus Showcase and third-party media

Institutions may publish event information and may upload, link or embed photographs, videos, livestreams and other media. Third-party media may be delivered through supported services such as YouTube and, if enabled later, other approved media or social platforms. Those providers may process information under their own privacy policies and may use cookies or similar technologies. Campus Master does not control the independent privacy practices of third-party platforms.

6. Payments

Online payments may be processed through CCAvenue or another approved payment service provider. Payment providers process payment and transaction information under their own terms and privacy practices. Campus Master should not be used to store full card credentials. We may retain transaction identifiers, status, amount, invoice/subscription references and reconciliation information necessary for service administration, accounting, support and legal compliance.

7. Cookies, sessions and analytics

Campus Master uses cookies or similar browser storage where necessary for login, session continuity, security, preferences and application functionality. As of the effective date of this policy, Scooolio does not state that Campus Master uses Google Analytics or Meta Pixel. If analytics or advertising technologies are introduced, this policy and the Cookie Policy should be updated before or when required by law.

8. Sharing and service providers

Information may be shared with the relevant institution and its authorized users; infrastructure, hosting, database, storage, email, support and security providers; payment providers; supported third-party media platforms when a user chooses to access embedded or linked content; professional advisers; and governmental, regulatory or law-enforcement authorities where required or permitted by law. We do not authorize service providers to use institutional personal data for unrelated purposes.

9. Security

We use reasonable technical and organizational measures appropriate to the service, including access controls and authentication, application and database controls, audit/logging practices where enabled, backups and infrastructure safeguards. No online system can guarantee absolute security. Institutions must protect administrator credentials, manage user access appropriately and promptly report suspected compromise.

10. Retention and deletion

Retention depends on the type of data, institutional requirements, contractual arrangements, backup cycles and legal/accounting/security obligations. Institutions should manage records according to their applicable retention requirements. On termination or a valid request, data will be handled according to the applicable contract, law and technical retention/backup processes.

11. Rights and requests

Individuals may have rights concerning their personal data under applicable law. Where Campus Master processes information on behalf of an institution, a request may need to be handled or verified through that institution. Privacy questions and requests may be sent to admin@scoooliotechnologies.com.

12. Changes

We may update this policy to reflect legal, operational or product changes. The current version and effective date will be published here. Material changes may require renewed institutional acceptance where appropriate.
